Potomac Valley AAU District Girls Basketball (GBB) Committee Meeting -- February 11, 2009
Meeting was called to order
The meeting was called to order by Andy Stadnik at 7:35 pm.

There were 4 clubs eligible to vote as noted by the asterisk (*) above. The Team Sol rep did not have a proxy form.
The meeting minutes from January were reviewed and approved.
Reminder:
Johnny Mae Armstrong the PV AAU Registrar is asking all Club Representatives to look at your team member list to ensure that all your players are accounted. Also when registering please enter your club code to ensure those players are listed under your organization and not in limbo. Also please review address and other information listed under each athlete and non-athlete to ensure they are correct and accurate.
POST MEETING NOTE: Club representatives need to make sure the athletes, parents/guardians and non-athletes read the fine print on their membership cards before they sign them, penalties for false, inaccurate or incorrect information can lead to an athlete, team or club from being disqualified and/or sanctions imposed.

DQT Format – 4 clubs were present to vote
Options and Discussion
There was extensive discussion of the format among the clubs present and pros and cons of the two main options and variations to it
1. Keep prior years format with only top 2 from pool advancing to double elim for D1 bracket;
2. Go to seeded single elim playoff format following new nationals approach;
3. If go with 2. Possibly consider having combined D1 and D2 then lower half of teams go to single elim for D2 and upper to single elim for D1
Conclusion
- DI & DII – will be kept in separate brackets, Goal is to have 4 teams/pool as a minimum
- DI - All age divisions will use pool play, then single elimination medal round with all pool play teams advancing to seeded playoff. (Everyone advances to playoff)
- DII – All age division will use pool play with top 2 from each pool advancing to bracket play. (Only top 2 advance to playoff)
DQT Fee -– 4 clubs were present to vote – Closed
DQT Fee for 2008 was $475.
The cost of maintaining and operating the PV AAU Girls BB website was discussed. The cost for the website operations is in the ballpark of $3,200 and includes all the tracking and reporting for all teams during the DQT. All present agreed the website is a very useful resource for our roughly 1800 members in 2008.
For 2008 this represented a cost of about $25/team that participated in the DQT (128 teams). In its initial year last year, the PV AAU GBB Sports Committee voted to use accrued funds in the PV AAU GBB account to support the website O&M costs. This year it cannot be supported without additional income besides the $1/member the committee gets from AAU National which covers medals and sanctioning fees for the DQT, AAU basketballs for the DQTs and travel expenses for the AAU annual meetings.
Further it was noted by Andy that gym rental costs in Montgomery and PG counties increased 15% last July 1 and Fairfax County also has increased along with private gym rates going up by 10-20%. Officiating costs have also increased from last year by 10-15%.
Proposal was made and voted on by the 4 clubs present for the DQT fee of $525/team with $25 going towards the website fee, and which provides an increase of $25 for DQT fee.

Total per team $525.00
Host clubs will be responsible for sending payment to Colonel Armstrong based on number of teams in the age group x $25/team.

· Changes – POOL PLAY ONLY – no shot clock for Pool Play – when no shot clock is made a 10 second back court rule will be in effect
· Changes – Bracket PLAY ONLY – When shot clock is used the “held ball closely guarded 5 second rule in the front of the court w/in 3 feet will be in effect.
New Business
Andy will update entry packet forms. The following list of items are needed in packets prior to submitting
- Roster
- Grade exception form (if needed) signed by school administrator
- Copy of Signed AAU card
- Copy of Report Card (for Grade Exceptions)
- Birth Certificate
Host teams should have location finalized and choice of officials by March meeting.
